Privacy Policy

Tovio Sports Technology Pvt. Ltd. (“Tovio,” “we,” “us,” or “our”), a company registered in Pune, India, operates the Tovio platform, including its mobile and web applications and related services covering tournament draws and scheduling, live scoring, digital scoreboards, the umpire app, the parent app, match analysis, and player journals, across tennis, pickleball, and padel (collectively, the “Services”).

This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Services. By using Tovio, you agree to the practices described here. If you do not agree, please do not use the Services.


1.Who This Policy Covers

Tovio is used by players, parents/guardians of junior players, coaches, training academies, umpires and officials, tournament organizers, and spectators. Different user types may have different data collected about them, as described below.

Special note on junior players (minors)

Tovio’s Services are currently in a limited beta with a small, invited audience. Where a user is under the age of 18:

  • We are in the process of establishing a verifiable parental/guardian consent mechanism, in line with India’s Digital Personal Data Protection Act, 2023.
  • During this beta phase, we request that academies and parents/guardians confirm consent directly with us before a minor’s data is processed; contact us at team@tovio.co to provide or confirm consent for a participating player. See our Parent & Guardian Consent page.
  • We collect and process a minor’s data only as reasonably necessary to provide the Services (e.g., match stats, performance reports, scheduling), and only for participants in this beta.
  • Parents/guardians may request access to, correction of, or deletion of their child’s data, or withdraw consent, at any time by contacting us (see Section 11).
  • We do not knowingly allow minors to independently manage account settings, payments, or public-facing profile visibility without guardian oversight.

2.Information We Collect

a) Account & Profile Information

Name, email address, phone number, date of birth, gender, profile photo, role (player/parent/coach/umpire/organizer), academy or club affiliation, and password/authentication credentials.

b) Player & Performance Data

Match scores, live scoring inputs, match statistics, performance analytics, player journal entries, coach notes, rankings, tournament draws, and scheduling information.

c) Parent/Guardian Data

Contact details and relationship to the junior player, used for consent, notifications, and communication about the player’s participation.

d) Tournament & Event Data

Entries, seeding, draw information, results, and scoreboard data associated with tournaments organized on the platform.

e) Usage & Device Data

App usage patterns, log data, device type, operating system, IP address, and crash/diagnostic data, collected automatically to maintain and improve the Services.

f) Payment Information (if applicable to entry fees, subscriptions, or merchandise)

Payment details are processed by our third-party payment processor; Tovio does not store full card numbers.

g) Location Data (if applicable — e.g., for live scoreboard/venue features)

Approximate or precise location may be collected only where required for a specific feature, and only with permission.

3.How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Services (live scoring, scoreboards, draws, journals, analytics)
  • Create and manage user and academy accounts
  • Generate performance reports and match analysis for players, parents, and coaches
  • Facilitate tournament organization and communication between organizers, umpires, and participants
  • Send service-related notifications (match schedules, results, updates)
  • Improve, secure, and troubleshoot the platform
  • Train, test, and improve our analytics models, scoring systems, and other machine-learning or AI-based features (see Section 4)
  • Comply with legal obligations

We do not sell personal information to third parties.

4.Use of Data for Model Training

Tovio uses data collected through the Services — including match statistics, scoring data, and usage patterns — to train, evaluate, and improve our analytics models and AI/machine-learning features (for example, performance-analysis tools and automated scoring or insight systems).

  • Where feasible, we use aggregated or de-identified data for this purpose.
  • Where data used for training is linked to an individual (including a junior player), it is used only in accordance with the consent obtained at account creation and this Privacy Policy.
  • You (or a parent/guardian, for a minor) may object to your data being used for model training by contacting us at the details in Section 11; we will honor such requests except where the data has already been aggregated or de-identified such that it can no longer be tied to you.
  • We do not use personal data for model training for any purpose unrelated to improving the Tovio platform and its sports-analytics features.

5.How We Share Information

We may share information with:

  • Academies, coaches, and tournament organizers you are affiliated with, to the extent necessary for their role (e.g., a coach viewing their player’s performance data)
  • Service providers who help us operate the platform (hosting, analytics, payment processing, cloud storage), under confidentiality and data-protection obligations
  • Other participants/spectators, limited to information inherently public to competitive play (e.g., match scores, draws, public leaderboards) unless privacy settings restrict this
  • Legal or regulatory authorities, where required by law or to protect rights, safety, or the integrity of the Services

6.Data Retention

We retain personal data for as long as an account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Junior player data is retained only as long as reasonably necessary for the applicable training program or academy relationship, after which it is deleted or anonymized unless a longer period is required by law.

7.Data Security

We implement technical and organizational safeguards (encryption in transit, access controls, and restricted internal access) to protect data against unauthorized access, alteration, disclosure, or destruction. No system is completely secure, and we encourage users to use strong passwords and safeguard their credentials.

8.Your Rights

Depending on applicable law (including India’s Digital Personal Data Protection Act, 2023), you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Withdraw consent and request erasure of your data
  • Object to your data being used for model training (see Section 4)
  • Request a summary of how your data is processed
  • File a grievance with our Grievance Officer (see Section 11)

Parents/guardians may exercise these rights on behalf of a minor player.

9.Cookies & Tracking Technologies

The Tovio web platform may use cookies or similar technologies to remember preferences, keep you logged in, and understand usage patterns. You can control cookies through your browser settings; disabling them may affect functionality.

10.International Data Transfers

If you access Tovio from outside India, your data may be processed and stored in India or other jurisdictions where our service providers operate, under appropriate safeguards consistent with applicable law.

We may update this Privacy Policy from time to time. Material changes will be notified through the app or via email, and the “Last updated” date above will reflect the most recent revision. Continued use of the Services after changes take effect constitutes acceptance.
